Do You Need a Visa for Spain?

Spain is part of the Schengen Area, which allows visa free travel for many nationalities for short stays (up to 90 days in any 180 day period). If your country is not on the Schengen visa exempt list, you must apply for a Short Stay Schengen Visa to attend the conference in Seville. Citizens of most African countries, most of Asia (including India), Russia, and several Middle Eastern countries generally require a Schengen visa to enter Spain.

Steps to Apply for a Schengen Visa (Spain – Conference/Business)

Determine Your Visa Type : Apply for a Short Stay Schengen Visa (Type C – Business or Conference Visa) with Spain as your main destination, as you will be attending the conference in Seville.

Prepare Required Documents

Requirements can vary slightly by country and consulate, but a typical Spanish Schengen short stay/conference visa application includes:

  • A valid passport (valid at least 3 months beyond your planned departure from the Schengen Area, issued within the last 10 years, with at least 2 blank pages).
  • Completed and signed Schengen visa application form (as provided by the Spanish Embassy/Consulate or visa centre).
  • Recent passport size photographs that meet Schengen photo specifications.
  • Proof of accommodation in Spain (hotel reservation or formal invitation/host details in Seville for the full stay).
  • Round trip flight itinerary or travel reservations showing entry and exit from the Schengen Area.

  • Proof of professional status (employment letter and/or no objection certificate, business registration for self employed, or enrollment certificate for students).

Schedule an Appointment : Book a visa appointment at your nearest Spanish Embassy/Consulate or an authorized external visa service provider (such as BLS International or VFS Global, depending on your country of residence).

Attend Your Visa Appointment / Interview : Submit your documents in person, provide biometrics (photo and fingerprints) where required, and answer any questions about your travel plans and purpose of visit.

Wait for Processing : In general, Spanish Schengen visa applications are processed in about 15 calendar days, but this may be extended to 30 days and, in some cases, up to 45–60 days if additional checks are needed. You should apply well in advance of the conference dates to avoid delays.

Visa and Invitation Letter Guidelines (Seville, Spain)

If you are traveling to Spain for the conference at the University of Seville, you may require a visa depending on your nationality, residence, and travel history. The conference invitation letter is an official document confirming your participation and the event details, and is intended to support your visa application, but it does not replace or guarantee a visa.

How to Request an Invitation Letter from the Conference

If you need an invitation letter for your Spanish Schengen visa application, please follow the steps below (you can customize the placeholders for your event):

Complete your conference registration and payment.

Send an email to [Your Contact Email] with the subject: “Invitation Letter Request – IBBC2026 Seville”.

Include the following information in your email (exactly as shown in your passport):

  • Full Name (as per passport)
  • Nationality
  • Passport Number
  • Date of Birth
  • Institution/Company Name
  • Job Title / position
  • Conference Registration Confirmation Number
  • Planned Travel Dates (arrival and departure)
  • Mailing Address
  • Email and Contact Number

Your invitation letter will be issued on official conference letterhead, stating your name, conference title, venue (University of Seville, Seville, Spain), and conference dates. The letter will be sent to you as a PDF by email within 5 business days.

Many international conferences in Spain specify that invitation letters are provided only to registered, paid participants and are solely for visa and institutional approval purposes.

The invitation letter does not guarantee visa approval; all decisions are made by the Spanish Consulate/Embassy processing your application.
